1The business problem
Are you an owner or operations manager of a fire safety business?
An engineer finishes a site visit with photos, handwritten notes and a checklist. Turning that into a client-ready report, chasing remedial actions and proving what was done months later takes evenings that should be spent on the next job.
Report writing after hours
Notes and photos are typed up later, by the same people who did the inspection.
Actions that go quiet
Remedial items are listed in a report, then tracked in email or memory rather than one register.
Evidence when it matters
When a client, insurer or enforcing authority asks what was done and when, the answer is spread across folders.
2What we would advise
Fix the record first, then let AI help with the writing. We would design one structured inspection record, use AI to turn site notes and photos into a draft in your house style, and keep the risk judgement, the wording of findings and the sign-off with a competent person.
- Discovery. Sit with an engineer, collect three real reports and time each stage from site to signed report.
- One report type first. Pick the most common report, such as a fire door inspection, and design a structured mobile checklist for it.
- Draft, then review. Trial AI drafting from the checklist, notes and photos. The engineer edits and signs every report.
- Close the loop. Add a remedial action register with due dates and reminders, then measure against the baseline.
3The proposed solution
| Capability | What it does | Status |
|---|---|---|
| Structured site capture | Mobile checklist with photos, in an existing field app or a simple form | To evaluate |
| Report drafting | AI drafts findings and recommendations from the checklist in your template | To evaluate |
| Action reminders | Rules-based reminders for overdue remedial items, no AI needed | To evaluate |
| Final decision | Competent assessor signs off | Human decision |
4Starting point and aim
| Area | Typical starting point | What we would work towards |
|---|---|---|
| Site notes | Handwritten notes and loose photos | One structured record captured on site |
| Report writing | Typed from scratch after hours | A first draft ready for the engineer to review |
| Remedial actions | Tracked in email and memory | One register with owners and due dates |
5Evidence and how we would measure it
This is an illustrative approach, so there are no results to report. In a real engagement we agree the measures first and report against your own baseline.
- MeasureTime from site visit to signed report, against your own baseline
- MeasureShare of remedial actions closed by their due date
- ReviewReport quality checked by a senior assessor at 30, 60 and 90 days
Expert insight
In fire safety, AI should never decide whether something is safe. It can make sure the person who decides spends their time deciding, not typing.
Questions we are often asked
Can AI carry out a fire risk assessment?
No. Under the Regulatory Reform (Fire Safety) Order 2005, which applies in England and Wales, assessments must be suitable and sufficient, and that judgement belongs to a competent person. AI can help draft and organise, never assess.
Where would we start?
With your most common report type, a structured checklist and a measured baseline. Most of the early gain comes from capturing information once, at the point of work.
Most relevant for: Fire safety, inspection and compliance businesses where skilled staff spend evenings writing reports and tracking remedial actions.
