What AI automation means here
Automation follows fixed rules: when an invoice arrives, match it to the order and flag a mismatch. An AI agent handles work that needs reading or writing: drafting a reply, summarising a call, sorting an inbox. Most useful projects combine both, with a person approving anything that matters.
Workflows we automate
- Invoices and purchase orders. Matching, flagging exceptions and preparing entries for your accounts system. See our invoice reconciliation approach.
- Enquiries and bookings. First replies, qualification questions and appointment offers, so leads do not wait overnight.
- Credit control. Polite, scheduled reminders from your own finance address, with disputes routed to a person.
- Notes and reports. Turning meeting, site visit or assessment notes into a first draft that a person checks.
- Inbox and document triage. Sorting, tagging and filing so the right person sees the right item.
What others have reported
We do not publish savings figures we cannot evidence. These pages summarise results that other organisations have published, with the source on each page:
- An accountancy firm's automated credit control, as reported by the firm.
- AI-assisted care assessments in home care, as reported by the supplier.
- Council document drafting, as reported to the Local Government Association.
What it costs
- First AI and Tech Stack Review: free.
- AI and Copilot Discovery Day: £950 + VAT, fixed, if a day of mapping and ranking is worth it.
- An automation or AI agent pilot: a fixed price quoted in writing after the review, for one workflow, before you commit.
How a project runs
- Free review. We look at the job and the tools you already pay for.
- Baseline. We measure how long the job takes today, so the pilot has something to beat.
- Pilot. One workflow, built in your live systems, with exceptions sent to a named person.
- Hand-over. Documentation, usage rules and training, so your team owns it.
When automation is the wrong answer
If the process changes every week, if the data is mostly on paper, or if the job takes an hour a month, automation rarely pays back. We will tell you, and often a tidier spreadsheet or form is the better first step. For wider advice on AI strategy and governance, see our AI consultancy in Cardiff.
Questions we are often asked
What is the difference between automation and an AI agent?
Automation follows fixed rules. An AI agent reads or writes, for example drafting a reply or summarising notes. Most projects use both, with a person checking the results that matter.
Which systems can you automate?
Microsoft 365, common accounting and CRM platforms, shared inboxes, forms and spreadsheets. We confirm what connects during the free review.
How much does AI automation cost?
The first review is free. A Discovery Day is £950 + VAT. A pilot for one workflow is quoted at a fixed price after the review.
